In the past, there was an extra room on the location, where you could place you matrace and sleeping bag and sleep in that room.

No deadline, just tell me (and write here in the topic), if you like to come. Make a note one day before the tournament starts and it s fine

(Maybe if I see that really more then 12 people wants to play in the tournament I have to talk to the hosts of [connected] event, as I never have thought that so much players are interessted, I only ask for 12 people - but I can imagine that even if more then 12 people wants to join it could be possible, but I have to ask in that case).

That is not really a event with other competitions. It is more like a computer and videogame meeting, but in the most cases there will be no other game competition. So I think there are random retro games where you can have luck and maybe play a 4 player bomberman match, but that all just friendly games at all, no competition (and not so less persons there like to talk and to work on there old hardware).
If you like to host a competition for an other game, I think they will be very happy
